Title: Special Events and Volunteer Coordinator
Reports to: Director of Development and Chief Financial Officer 
Status: Exempt

General Description: The Special Events and Volunteer Coordinator is responsible for generating additional contributed and earned revenue by providing primary staff support for special events conducted by the CLO, the CLO Guild, the CLO Ambassadors and the CLO Academy. Furthermore, this person will recruit and manage an ongoing CLO volunteer base for CLO special events, the SPARK New Small Musicals Festival, the CLO merchandise boutiques and other activities where volunteers are needed and assist in the implementation of special projects as needed. 

Specific Responsibilities 

  • Provide primary staff support and staff liaison for the CLO Ambassadors Wine Tasting and other Ambassador events and activities including generating letters and other written materials; distributing, collecting and tracking raffle tickets; coordinating auction donations; coordinating the design and production of the event program; coordinating volunteer meetings; and other tasks necessary for the successful implementation of the event and other Ambassador activities.
  • Provide primary staff support for Taste for Talent and other CLO Academy events including generating letters and other written materials; coordinating auction and raffle prize donations; coordinating the design and production of the event program; coordinating volunteer meetings; and other tasks necessary for the successful implementation of the event.
  • Providing primary staff support and acting as a liaison with the CLO Guild for the Guild Ball and other CLO Guild events, including assisting with Guild mailings, maintenance of the Guild database, coordination of CLO staff and volunteer needs, coordinating the design and production of the event program, and other tasks necessary for the successful implementation of the event.
  • Providing primary staff support for other CLO special events as needed including coordinating CLO cast parties, special donor events, and SPARK Festival events.
  • Developing and managing the recruitment, scheduling and coordination of volunteers for CLO special events, SPARK events and merchandise sales at CLO performances and other appropriate events.
  • Maintaining mutually beneficial and positive relationships with local caterers, restaurants and other like businesses to ensure events are both well-designed and cost-effective.
  • Overseeing merchandise sales for the CLO, including the selection, ordering and tracking of merchandise, staffing of the boutique and financial reporting.
  • Assisting with the development, coordination and implementation of other CLO special projects as needed.

Skills/Requirements

  • 1-3 years’ experience in a non-profit or community organization in development, special events, volunteer management or community relations.
  • Excellent organizational skills with demonstrated attention to detail and accuracy.
  • Excellent customer service and relationship building skills.
  • Strong aptitude for oral and written communication.
  • Engaged in and inspired by Musical Theater.
  • Ability to work quickly and accurately in a fast-paced environment.
  • Flexible and skilled at juggling multiple projects at once with the ability to deftly manage logistics.
  • Proficiency in computer skills, including Microsoft Office Suite and database programs. Graphic design and/or Tessitura a plus.
  • Ability and willingness to work nights and weekends, when necessary.
